Dark Watch Experiences LLC – Terms and Conditions (November 1st, 2025)
ANY PERSON OR ENTITY (“User” or “You”) USING OR OTHERWISE ACCESSING THE PLATFORM AT darkwatch.net (“Site”) OR ANY OF THE INFORMATION CONTAINED WITHIN THE WEBSITE MUST AGREE TO BE BOUND BY THE FOLLOWING TERMS AND CONDITIONS AS WELL AS THE BOOKING FORM (together, the “Agreement”).
 
Contracting Parties
Agency and Festival Operator 
Dark Watch Experiences LLC (“us”, “we”, “our”, “Agent”) is a company whose registered address is at 16192 Coastal Highway, Lewes, DE 19958, USA. In all cases, Dark Watch Experiences LLC is the contracting party, acting as both the Agent and Festival Operator for the events detailed in this Agreement.
 
Use of Your Personal Information
Our Privacy Policy describes how we collect, use, share, and safeguard your Personal Data when you access the Site or otherwise interact with us. For more information, please read our Privacy Policy.
 
Booking Your Dark Watch Experiences

Paying Your Deposit
To pay for your DWE pass by debit or credit card online or over the telephone, we accept the following: Delta, MasterCard, and Visa (American Express is not accepted). At the time of booking, we will require all names and addresses for everyone on the booking, along with:
– Payment card number
– The last 3 digits of your security code
– Expiry date
– Cardholder’s name & address if different from the lead name on booking
 
The Contract
The Agreement (including these Terms and Conditions and your booking information) takes effect when we receive the agreed payment for your booking. The contract shall continue until you and your party leave the designated event (“Event”). The Agreement binds you and all members of your party, including day visitors. It is your responsibility to ensure that all members of your party accept the terms of booking and the provisions contained in these Terms and Conditions. Failure to disclose all relevant information or comply with these Terms and Conditions may lead to termination of the Agreement and loss of your booking.
 
Your Reservation
Depending on the timing of your booking and subject to approval in each case, it may be possible for you to pay only an initial deposit per person plus a booking fee and then a final payment later, or to make full payment at the time of booking. Deposit payments are non-refundable.
 
Competition Terms and Conditions
Prizes are claimed online (there is an online admin fee per ticket to claim prizes, which also provides you with a free program and future discounts for all Dark Watch events).
 
– Entrants must be 18 or older on the date of entry to win tickets.
– A winner will be chosen at random and contacted by phone or email.
– 1st prize shall be: six (6) day passes to the Event.
– Prize does not include transportation or accommodation.
– Tickets are non-transferable and non-refundable.
– The Agent reserves the right to withdraw any prize offer at any time.
– Additional terms may apply upon claiming the prize.
– Claims must be made by the date specified in the respective competition email.
– VIP and Royalty pass upgrades are available at a supplement.
– A Thursday pass upgrade may also be available at a supplement.
 
If You Change Your Booking
If you wish to add more guests to a booking, there will be no amendment fee. Any name changes will incur a £20 amendment fee. Changes must be made at least 56 days before the start of the Event by telephone to DWE at 0207 193 1164. Name changes made within 56 days of the start of the Event will incur a £40 fee per change. Please ensure you receive confirmation from us before the Event, subject to approval (contact us in good time if you do not receive confirmation).
 
If You Cancel Your Booking
It may be necessary to cancel your pass due to illness, accident, or change of circumstances. Once payment is made for a booking, fees are 100% non-refundable; however, if you have taken out insurance, cancellation payments may be covered in most cases. As soon as you know that you need to cancel, please email us at boxoffice@darkwatch.net.
 
Anyone who fails to clear their balance by 5 PM CET on the due date will face full cancellation and loss of any monies paid to date. The booking (including accommodations, facilities, and related services) will then be placed back on sale the following day at full price.
 
If We Make Any Changes to Your Booking 
We strive to provide all facilities and entertainment as advertised on the Site. However, it may be necessary to make changes in advance of the Event. If a major change is needed, we will endeavor to notify you in writing as soon as possible. Dark Watch Experiences LLC reserves the right to change the lineup, date, location, amenities, or any other logistics, provided they are of a similar or higher standard than originally booked. Your pass is for the Event and is not dependent or conditional on any particular performers, venue, or DJ.
 
You will have the following options if we make a major change to your booking that involves a downgrade in facilities or standards:
– Accept the alternative arrangements as notified to you, or
– Change your booking to another Dark Watch event that you (if validly) specifically reserved, or
– Accept a credit note that can be used for future Dark Watch experiences.
 
Minor Changes
Changes such as the withdrawal of certain amenities, facilities, activities, venue, and entertainment may be made by the Agent at any time. The advertised lineup is correct at the time of publication but may be subject to change. Your pass is for the Event and is not dependent or conditional on any particular band, venue location, or DJ.
 
Limitation of Liability 
The Site is intended only for the purposes specified herein. Your use of the Site is entirely at your own risk. While we endeavor to provide accurate and useful information, the content of the Site may be inaccurate and is subject to change, often at very short notice. To the fullest extent permitted by applicable law, all such content is provided without any representations or warranties of any kind (either implied or express). Specifically, we do not represent or warrant that the Site or any content will be accurate, up-to-date, complete, or free of defects, including (without limitation) viruses or other harmful elements. You agree that our liability to you under this Agreement shall be limited to direct damages of up to the amount you have actually paid to us (or, if greater, £100). Nothing herein shall limit liability for personal injury, death, or fraud.
 
Pricing and Availability
The price agreed and shown on your confirmation of booking for the accommodation (and party size, plus any supplements) is the amount payable by you. Please note that all prices shown are inclusive of local tax. The pricing for each Event is on a per-room basis.
 
All our offers are subject to limited availability, as offers may run out due to popularity. Please remember to quote the applicable offer code when booking as this will help us find the best price and offer available at the time.
 
Arrival & Departure Times 
Your accommodation keys will be available from 14:00 on the day of arrival. Please bring your confirmation of booking with you. On your departure day, you must return your keys to the main reception. You will need to leave a £100 security deposit upon arrival as a deposit against any damage to your room. Absent any such damage, this will be released on departure. Express check-in and check-out are available for all bookings.
 
– Express check-in: Where guests have preregistered with us, the lead passenger may, in some cases, collect apartment keys, lanyards, and wristbands for the entire booked party.
  
– Express check-out: In some cases, you will be able to check out prior to security checks on your apartment and may be able to leave your keys at reception without waiting. If security has checked your apartment and no damage has been found, the authorization on your card will be released. If damage has been caused (or is evident), you will be charged accordingly. Room keys not returned to reception upon checkout will be charged at £5 per key. 
 
Please treat your accommodation with care and respect. It will be inspected at the end of the Event. You will be held responsible for any damage caused during your stay. Damage to the accommodation may also result in the termination of the contract with no compensation. On departure, please leave the accommodation clean and tidy. We do not accept liability for items left behind upon departure. We reserve the right to charge you during or after your stay for any loss or damage to our property. Dark Watch Experiences LLC also reserves the right to enter accommodation at any time and for any reason (including, but not limited to, ensuring the safety and well-being of our guests).
 
Minimum Age Requirement 
With the exception of certain events (e.g., Sci-fi Weekender), all Events are strictly for guests over the age of 18. All guests are required to have and show proof of ID when arriving on site. Proof of age is required when checking in and buying alcohol at the Event or at any other time while on the Resort. ONLY PHOTOGRAPHIC ID WILL BE ACCEPTED, including Passport, Driver’s License, Citizen Card, VALIDATE UK, Connexions Card, Young Scot, or a national “Proof of Age Card”. DO NOT COME TO THE SITE WITHOUT ID. No entry will be permitted, nor refunds given, if you are unable to prove your age. If you do not have any photographic ID, you may obtain a “Citizen Card” via www.citizencard.com (and please allow sufficient time for issue and delivery before the Event).
 
Pets
Please note that pets are not allowed in certain accommodations unless specifically stated. Any pet-friendly units must be requested and confirmed at the time of booking.
 
Health & Safety
Should anyone be diagnosed or suspected of having a contagious disease (including but not limited to any disease that could potentially infect other people), they will be asked to leave the Event and the Event site (“Resort”). If this is not possible, restrictions will be applied to prevent viral transmission to other guests. We are unable to offer refunds in such circumstances, and we recommend you take out suitable personal insurance to include sickness cover.
 
Disabled Guests
If you have any special requirements, or if a member of your party has restricted mobility or access needs, you must notify us at the time of booking. We will do our best to meet these requirements, but this cannot always be guaranteed. If your special request is essential for your attendance at the Event, please contact the DWE Box Office for advice prior to making your booking at 0207 193 1164. The venue has a limited number of units modified for disabled guests, and availability varies. It is necessary to check suitability prior to booking by calling our Helpline. We will need to know the following:
– The number of disabled people in your party.
– A brief description of the special requirements.
– Details of any wheelchairs used (including size, weight, and whether motorized).
– Details of any medical requirements.
– Details of any special storage requirements for equipment or medications.
 
Without this information, we cannot guarantee suitable accommodation will be available and may have to decline your booking. Certain venues within our Resorts may not be accessible for wheelchair users, so please check when you book.
 
If You Have a Comment About an Event
If you are dissatisfied with any aspect of an Event, initially speak to a member of the DWE team. If they cannot resolve the issue, please contact the Guest Services team at your Resort. They will do their best to help you immediately. If you still feel your complaint has not been dealt with satisfactorily at the end of the Event, please write to the Correspondence Team (via email) no later than 28 days after the end of the Event. We can only act on complaints that are brought to our attention during your stay and received in writing within 28 days (unless there are exceptional circumstances).
 
General 
Show consideration to other guests and staff members at all times and treat the facilities with respect. Offensive or illegal behavior and excessive noise will not be tolerated. If guests fail to comply with these rules, their contract may be terminated, and they and their party will be asked to leave the Resort immediately (refunds will not be given). Contracts may be terminated if we have reasonable suspicion that you or any guest has committed or intends to commit an offense. Dark Watch Experiences LLC reserves the right to interview any guest to investigate instances of damage or nuisance to property or guests. Guests refusing to comply with this policy may be treated as having terminated their contract and will be asked to leave immediately, without refunds. Guests are advised not to bring privately-owned electrical appliances to the Event or any Resort; if they do, they use such equipment at their own risk. Some entertainment shows may involve strobe lighting, and the availability of outdoor facilities may be affected by adverse weather conditions. Music played by guests must be within accommodation with all doors and windows closed to minimize disruption to others. There is a sound curfew on site. Failure to comply may result in equipment being confiscated, with or without warning. Video cameras, professional photo cameras, and recording devices are not permitted at the Event or in the venue without prior written consent. Please email all press inquiries to charl@darkwatch.net at least 48 hours before the applicable Event. Fireworks and flammable liquids will be confiscated upon discovery. Any use of fireworks or flammable liquids (including, but not limited to, flammable Poi) will result in immediate removal from the site. Nitrous Oxide is a controlled substance and will also be confiscated. We operate a zero-tolerance drug policy; anyone found in possession of any suspected illegal or controlled substances will be removed from the Event (and the Resort), may face arrest and prosecution, and will be banned from attending future Events. We allow unlimited amounts of food to be brought onto site, provided only unopened packages are brought, while your alcohol allowance must be in unopened bottles and/or cans. Personal searches while on site are a condition of your stay, and we reserve the right to enter any accommodation without explanation. If we determine you have not left your accommodation as found, you will be charged for cleaning or repairs. Report any damage found in your accommodation upon arrival at reception; otherwise, you will be charged post-event. The principal booker will be asked to sign an indemnity form upon checking in, taking responsibility for the upkeep of your room for the duration of the Event. If your conduct or that of anyone in your party is deemed detrimental to the Event’s smooth running, we reserve the right to remove you and/or your party from the site without reason and without a refund. The failure to exercise or enforce any right under this Agreement shall not be seen as a waiver of that right. If any provision hereof is deemed invalid, illegal, or unenforceable, the validity of the remaining provisions will not be affected. A person not a party to this Agreement has no right under the Contracts (Rights of Third Parties) Act 1999, or otherwise, to enforce any term hereof. We reserve the right to alter these booking conditions at any time; please check the Site at the time of booking.
 
TV Filming & Photography
Due to the popularity of our Events, a specific Event may be filmed live for TV. Please remain aware of camera positioning at all times. If you do not wish to appear on film or photographs, please stay out of the viewing lines of such cameras.
